Accounting
Accounting software built for coworking spaces.
Most coworking software stops at the invoice. CoWorkly keeps real double-entry books behind every invoice, payment, expense and vendor bill, so your profit and loss, balance sheet and tax figures are ready whenever you need them. No exports, no re-keying, no month-end spreadsheet.

A walkthrough of how invoices and payments post to the books, and where to find your financial reports in CoWorkly.
Your books update as you run your space.
Your team keeps billing members and recording costs the way they already do. Each action writes its own journal entry in the background, so the books are never behind.
-
Bill a member
When an invoice is issued, CoWorkly records what the member owes and books the income to the right revenue account: memberships, bookings, add-ons or cafeteria.
-
Receive a payment
A recorded payment clears the receivable and lands in the account you chose for that payment method, whether that is cash, bank transfer, card or cheque.
-
Record your costs
Approved expenses and vendor bills post as they happen, and paying a bill takes the money out of the bank or cash account it was paid from.
-
Read the reports
Open profit and loss, balance sheet, cash flow or tax summary for any period and any branch. The numbers already include everything above.
Automatic journal entries for every coworking transaction.
Set your posting accounts once in accounting settings. From then on, CoWorkly knows where every type of income, deposit and payment belongs.
- Income split by stream: plans and memberships, room and desk bookings, add-ons and cafeteria sales each post to their own revenue account.
- Security deposits are held as a liability, not counted as income, and forfeited deposits move to revenue when you keep them.
- Advance payments and member credit sit in customer advances until they are used against an invoice.
- Tax you charge on invoices is tracked as tax collected, ready for your tax return.
- Each payment method maps to its own cash or bank account, so your bank balance in CoWorkly matches your statement.
- Refunds, approved expenses and supplier bills post the moment they are recorded.

Questions about coworking accounting.
Is CoWorkly real double-entry accounting?
Yes. Every transaction is recorded as a balanced journal entry with debits and credits, on a chart of accounts you control. The trial balance and balance sheet come from the same ledger, so the books always balance.
Do I still need separate accounting software?
For most coworking operators, no. Invoices, payments, expenses, vendor bills and payroll already post to the books, and the financial statements are built in. If your accountant prefers their own tool, you can download the reports as PDF and hand them over.
How are security deposits handled?
Deposits are recorded as a liability, because you owe them back to the member. If you keep a deposit, it moves to a forfeited deposits revenue account. Neither inflates your income while the deposit is held.
Can I see accounts for each branch separately?
Yes. Each entry belongs to a branch, and every report can be filtered to a single location or show the whole business.
Can I stop old periods from being changed?
Yes. Set a lock date in accounting settings and entries on or before that date can no longer be added or edited.
How do I get the accounting module?
Accounting is an app in the CoWorkly marketplace. Install it from your account and it starts posting from the accounting start date you choose. See the pricing page for plans, or book a demo to see it with your own numbers.
