Support tickets

Track every support request from open to resolved.

Members raise a ticket from the member portal. Your team assigns it, adds notes and closes it when done. Every step is logged, the member is kept in the loop by email, and nothing goes unanswered.

A walkthrough of a member raising a ticket and your team resolving it end to end inside CoWorkly.

From member request to resolved.

  1. Member submits a ticket

From the member portal, the member fills in a subject, category and description. They receive an email confirmation with a ticket reference number.

  2. Staff assigns and reviews

The ticket appears in CoWorkly with a priority level. A staff member is assigned. They can see the member's profile, history and all previous tickets.

  3. Staff replies and adds notes

Replies go to the member by email and appear in the ticket timeline. Internal notes are visible to staff only.

  4. Ticket is resolved and closed

When the issue is resolved, the staff member closes the ticket. The member receives a notification and can reopen it if the issue returns.

  • Categories and priorities — set them on each ticket so your team handles the urgent ones first.
  • Assignment — assign a ticket to any staff member from the ticket screen.
  • Timeline — every reply, note and status change is logged with the date and the person.
  • Email notifications — members receive an email when you reply or close their ticket.
  • Member context — staff see the member's profile, plan and history alongside the ticket.
  • Filtering and search — find open tickets, overdue ones or all tickets from a specific member.

Questions about support tickets.

Can members track the status of their ticket?

Yes. Members can log into the member portal and see their open and past tickets, including the current status and any replies from your team.

Can staff add internal notes that members cannot see?

Yes. Internal notes are visible to staff only and are a great way to add context or coordinate between team members without cluttering the member-facing timeline.

Can I set categories for different types of issues?

Yes. Configure ticket categories — maintenance, billing, access, noise — so members pick the right one and your team can prioritise and route tickets accordingly.

Never let a member request go unanswered.
