Resources & tracking

Never run out of diesel or miss a service again.

Track the stock your space runs on, like diesel, water and supplies, along with generator run hours and recurring maintenance. CoWorkly tells your team when something is running low or a job is due.

Stock you top up and use.

Diesel, drinking water, cleaning supplies, printer paper, tea and coffee. Anything that runs down and needs reordering.

  • Set a capacity and an alert level for each item, like a 500 L tank that alerts at 100 L.
  • Record every top-up and every use, with notes and the total cost of each top-up.
  • See each item's level on a bar, with a "Running low" warning before it drops below the alert level.
  • Group items into your own categories, like Fuel, Water or Supplies.
  • Track items per branch, or share one item across all your branches.

Meters that count up to a service.

Generator run hours, and anything else that needs a service after a set amount of use.

  • Log usage as it happens, like the hours the generator ran during load shedding.
  • Set the service interval, like every 250 hours, and a "due soon" point before it.
  • Link the meter to a maintenance job, so marking the service done resets the meter to zero.

Recurring maintenance on a schedule.

AC servicing, water tank cleaning, pest control, fire extinguisher refills and every other job that is easy to forget.

  • Schedule jobs by date, like every 90 days, or by a meter, like every 250 generator hours.
  • Record the asset, the vendor who does the work and the cost each time.
  • Mark a job done and the next due date is set for you.
  • See what is overdue, due within 14 days or on schedule at a glance.

How your team stays ahead.

Alerts go to the staff who manage resources at that branch, inside CoWorkly.

  1. Record what happens

Staff add a top-up, record usage or log generator hours in a few taps.

  2. CoWorkly checks the level

Each item's status updates straight away against its alert level or service interval.

  3. Your team is notified

A notification goes out once when stock drops low, a meter needs a service, or a job is due soon or overdue.

  4. Restock or mark it done

Every change is kept in the activity log, with who recorded it and when.

Questions about resource tracking.

What can I track?

Anything your space runs on. Stock that you top up and use, like diesel, water and supplies, and meters that count up to a service, like generator run hours. You name each item and choose its unit.

Who gets the alerts?

Staff with the Manage Resources permission for that branch, and your admins. You choose who has the permission from your roles settings.

Will my team get the same alert over and over?

No. An alert is sent once when an item crosses its alert level or a job becomes due soon or overdue, not every time usage is recorded.

Can I track resources for each branch separately?

Yes. Each item and maintenance job can belong to one branch, or be shared across all your branches.

Can staff see resources without being able to change them?

Yes. View Resources and Manage Resources are separate permissions, so some staff can check levels while others record changes.

Keep your space running without the guesswork.
